1. Offer Overview

This exclusive offer provides eligible participants of Huddle Global 2025 with 6 months of free access to ERPEaz ERP software, including setup, data migration, training, and 24/7 AI support assistance. This offer is powered by KSUM (Kerala Startup Mission) and is valid for a limited time.

2. Eligibility Criteria

2.1 Who Can Apply

This offer is exclusively available to:

• Registered startups under KSUM (Kerala Startup Mission)
• Attendees of Huddle Global 2025 conference
• Businesses with valid GST registration (if applicable)
• Companies with 1-200 employees
• Organizations based in India

2.2 Verification Process

All applications will be verified for Huddle Global 2025 attendance and KSUM registration. ERPEaz reserves the right to request proof of attendance and startup registration documents.

3. Offer Scope & Limitations

3.1 What's Included

• Up to 25 user accounts
• 25+ business integrations (Shopify, WhatsApp, payment gateways, etc.)
• Cloud hosting with 99.9% uptime guarantee
• 10GB cloud storage for documents
• Standard reports and dashboards
• Mobile app access (iOS & Android)

3.2 Limitations

• One offer per company/organization
• Cannot be combined with other promotional offers
• Non-transferable to other entities
• Custom development and modifications charged separately
• Additional storage beyond 10GB charged as per standard rates
• Third-party integration fees (if applicable) are not included

4. Activation & Usage

4.1 Onboarding Timeline

• Day 1-3: Application review and verification
• Day 4-7: Account setup and system configuration
• Day 8-14: Data migration and team training
• Day 15: Go-live with full support

4.2 Free Period Duration

The 6-month free period begins from the date of successful go-live, not from the application date. Companies must actively use the system during this period.

4.3 After Free Period

After 6 months, you can choose to:

• Continue with a paid subscription at discounted KSUM rates
• Export your data and discontinue (no obligation to continue)
• Downgrade to a free plan with limited features

5. Data & Privacy

5.1 Data Security

All data is encrypted and stored on secure cloud servers with regular backups. ERPEaz complies with Indian data protection laws and industry best practices.

5.2 Data Ownership

You retain full ownership of all data entered into the system. At the end of the free period, you can export your complete data in standard formats (CSV, Excel, JSON).

5.3 AI Support Data Usage

The AI support chatbot processes your queries to provide assistance. Conversations may be reviewed for quality improvement but are never shared with third parties.

6. Cancellation & Termination

6.1 Your Right to Cancel

You may cancel this offer at any time during the 6-month period without penalty. Your data will be available for export for 30 days after cancellation.

6.2 ERPEaz's Right to Terminate

ERPEaz reserves the right to terminate access if:

• Terms and conditions are violated
• Fraudulent information was provided during registration
• System is used for illegal activities
• Account remains inactive for 60+ consecutive days

7. Support & Training

7.1 Support Channels

• 24/7 AI support chatbot for instant assistance
• Email support (response within 24 hours)
• Priority phone support for urgent issues
• Dedicated implementation manager during onboarding

7.2 Training Included

• 2 online training sessions (2 hours each)
• Access to video tutorials and documentation
• Webinar invitations for advanced features

8. Legal & Compliance

8.1 Governing Law

These terms are governed by the laws of India. Any disputes will be subject to the jurisdiction of courts in Kochi, Kerala.

8.2 Modifications

ERPEaz reserves the right to modify these terms with 30 days' notice. Continued use after modifications constitutes acceptance of updated terms.

8.3 Liability Limitation

ERPEaz is not liable for any indirect, incidental, or consequential damages arising from use of the software. Maximum liability is limited to the amount paid (if any) for the service.

9. Important Deadlines

• Application Deadline: March 31, 2025
• Offer Valid Until: December 31, 2025 (for approved applications)
• First 100 Applicants: Receive additional 1 month free (7 months total)
